Detailed Policy

Email

A valid email address is required to sign up for an account. We use your email address to send you important information about Tegaru and your account, such as a reset link when you forget your password. We will not send you email unrelated to Tegaru.

User Data

When you upload documents or create flashcards, we store your document content, flashcard data, associated media files, and your study history including review performance and spaced repetition schedules. This user data is not visible to other users by default, but can be optionally shared through our community features. This data is visible to support staff when investigating problems with the service and problems you report. In the interests of research and product development, we may use your review history and study patterns (but not the text or media content) for statistical purposes, such as calculating average learning retention rates across all users.

Information We Collect

We collect information you provide when creating an account (name, email via Google OAuth or email signup), uploaded documents for study material creation, flashcard content you create, and community interactions. We automatically collect your IP address for location detection, technical data like your browser type and version, operating system, and usage patterns for analytics and service improvement.

Cookies

Tegaru uses internet technology called 'cookies' to keep you logged in to the website. The cookies allow us to associate the actions you take with the correct account. The logout option on Tegaru will allow you to remove your login cookie. We use essential cookies for authentication and preferences, analytics cookies to understand how our users interact with the platform, and functional cookies to remember your study settings. You can manage cookie preferences in your browser.

Logs

All requests made to Tegaru, whether through a web browser or API calls, are logged. We record the date and time, the location on Tegaru being accessed, your IP address, browser version, and referring page when present. When you access the service while logged in, your user ID is recorded. Email-related operations may log your email address. We store this information for security purposes (such as blocking malicious access attempts), for diagnosing problems, for analyzing usage of the service, and for providing support. Logs are automatically removed after 1 month.

How We Use Your Information

We use your information to: provide our AI-powered study platform, process your documents with Google Gemini AI, enable flashcard creation and spaced repetition learning, facilitate community deck sharing among our users, process payments through Stripe, send service updates and important account information via email, analyze usage patterns to improve our service, and provide customer support.

Third Party Sharing

The cards and associated media files you add to Tegaru are private by default. We will only make them available to the public if you explicitly share them through our community features. Tegaru makes use of secure third party services: Google Gemini for AI processing, Stripe for payments, Supabase for database services, and Resend for email delivery. We may share your data with law enforcement authorities when required to do so by law. We may extract anonymized review history for academic research purposes (this will not include card contents or personally identifiable information). When you post a public support request, we may need to reference your data for communication purposes - mark your ticket as private if you prefer confidentiality.

Keeping Data Safe

We endeavor to keep your data safe by following best practices such as encrypting your data in transit with HTTPS, maintaining secure authentication via Google OAuth, keeping systems up to date with security patches, implementing database access controls and Row-Level Security, and maintaining secure backups. No system can ever be completely secure, so we strongly recommend you store a local copy of your important study materials. You can use the Export functionality to save a backup of your flashcards. As your password secures your account, please ensure you use a secure password and don't reuse it on multiple sites.

Data Retention

We will retain your user data while you continue to use the service. As mentioned in our terms and conditions, account data may be removed if the account has not been used for an extended period. If you wish to remove your user data, you can delete your Tegaru account from the Account section of your profile. If you delete your account, we will delete your user data. Some of your user data may remain in backups and logs when your account is deleted - this data will automatically expire within a month. Any community posts or shared decks you made may need to be removed separately. We will retain information when legally required to do so.

Your Rights

You can access, update, or delete your account data through your profile settings. You can export your flashcards to various formats (PDF, Anki), delete your account (which removes all your personal data), and withdraw consent for data processing. Under GDPR and similar privacy laws, you have the right to data portability, rectification, and erasure. Contact info@tegaru.app for specific data requests or privacy concerns.

Lawful Basis

Data processing laws require us to state the lawful basis we use for processing your data. Data you provide to us such as your email address and study content is necessary for providing the service to you (servicing a contract). Statistics that we collect from your data are used to improve the service and for research (servicing a contract, and legitimate interests). Access logs are used for diagnostic and analytical purposes, and for detecting misuse of the service (servicing a contract, and legitimate interests).

Changes

If significant changes to this policy are made, we will notify you via a message when visiting the website or via email.

Transfer

In the event of a company acquisition, restructure, or bankruptcy, we may transfer your data to a different legal entity. The new legal entity shall respect your privacy in the same way, and notify you if they wish to use your data in a way not described here.
